MUI Continental Insurance have prepared 2 methods for Agents to submit their cover notes. Method 1 will comprise of Online submission based on any internet connection preferably a streamyx line. Method 2 will be a Fax form complete with details filled in by Agents to be faxed to us so that MUI staff at HQ or branches can key in for them. |

Agents will be identified by a unique ID which will be keyed in by the HQ or branch staff. |

What kind of Internet Line is required for connection to the Online Agency System? |

Any internet line is applicable however we recommend a ADSL or streamyx line if possible to ensure fast transaction processing. |

Will there be any software or hardware required to be installed at Agent’s premise for the Online Agency System? |

No. As long as the Agent has a Computer that is connected to any form of Internet Connection, they will be able to access the Agency System Online. |

How will Agents connect to the Internet if they do not have Computers? |

Agents may also use PDA phones or hand-phones with Internet surfing capabilities to connect to the Agency System anywhere throughout the country. Agents may also use Cyber Cafes to connect to the Agency Portal to key in their submission. All the Agent needs to connect to the Agency System is to key in an internet address and they will be automatically brought to the login screen of the Agency System. Agents may also go to Branches to use our Branch PCs to do their Cover Note Submissions on a first come first serve basis. |

How will MUI authenticate users who login into the Agency System and how secure is the Agency System? |

Each Agent will be given a Unique Login ID and default password upon registration to the Agency System. In the first login the Agent will be prompted to change their password to a password they are familiar with. MUI Agency System uses SSL technology to ensure all information transferred are encrypted to ensure security of data submitted. All Agents will be required to sign a Privacy Policy User Agreement as Terms and Agreements of using the Online Agency System. |

How is the work flow of information between MUI and JPJ? |

Once Agent submits a transaction to the Agency System Online, the transaction will be sent to JPJ and another copy of the information will be sent to MUI. Upon Approval from JPJ relevant information will be sent back to MUI and the Agency System. Agents can check status of their submission Online via the Agency System. Upon approval from JPJ Agents can go to MUI to collect their policy and send their Insured to pay their Road Tax at any JPJ center of Post offices. |

Is the Agency System linked to any Financial Institutions? |

Yes. The Agency System is linked to Local Banks and VISA and MASTERCARD Exchange. Users will be able to make cheque payments online as well to pay their submissions to MUI Insurance. However this is a system interface procedure only for Cheque payments. After keying into the system the manual cheque will still have to be submitted to MUI for banking in. Upon banking in the cheque the payment will be considered cleared. For MASTERCARD and VISA users their online transaction will be verified online and cleared on the spot. |

How long does it take for JPJ to approve or reject any cover note submission? |

JPJ has promised verification within no longer than 5 minutes per transaction however this has yet to be confirmed until actual live run. |

Can Renewal Cases be done on the Online Agency System? |

Yes. Renewal Information will be available in the Agency System for enquiry and renewal purposes. These information can be searched and viewed online. Renewal submissions can be pulled from the Database and renewed via the Online Agency System. For a Quick Renewal Agent will only need to pull out the relevant record and amend the Sum insured and check the expiry date before submission as all other relevant information would already be there. |

How will the Agency System handle Referral Cases? |

As all Agents will already know, MUI insurance will have their underwriting guidelines specified within the Agency System. If Agents submit any transactions whereby their conditions requires a referral from MUI, their transaction will be put on hold while an email will be sent to MUI Insurance Underwriting staff. Then Upon approval or rejection from MUI, the transaction will either be allowed to proceed or marked as rejected. Agents will need to check their submission status to see if referral cases has been approved by MUI and then if approved to proceed with resending the transaction to JPJ. Agents will not need to re key-in any information on referral cases, however they will need to reconfirm the information on the screen as MUI may have imposed loading or excess. Once the Agent is satisfied with the terms, they may resend the referral case to JPJ online. |

Will the Agency System cater for New Car Registrations? |

Yes. Upon submission of a new car details, key in the details in the Agency System as normal but there is no need to key-in Vehicle No and Period of Insurance. That field may be left blank for New Car Registration. Upon submission to JPJ, JPJ will allocate the number automatically into the data and sent it back to MUI Backend and update the Agency System Database. |

Are Insured allowed to pay their road tax at post offices? |

Yes. JPJ assured that most post offices that has the road tax renewal facilities are linked to their Database for Road Tax payments. |

What happens if I(Agent) have issued a Cover Note to JPJ and status has been approved by JPJ. However I discovered that there has been a grave mistake done or wrong information provided or Insured requested to Cancel? |

In this case, the Agent has to inform MUI Insurance to Cancel the CoverNote with JPJ and from their Database. Then the Agent will be allowed to reissue the cover note. Note that if MUI Insurance have not cancelled the CoverNote with JPJ the Insured’s Vehicle will be locked in JPJ Database and will not be allowed to be reissued by any other insurance company during that time. Any follow up issuance to JPJ on the same vehicle no before cancellation will be rejected. |

What if we issue a Cover Note for 1 year but insured decides to pay 6 months only at any JPJ counter of Post office? |

Insured can proceed to pay for 6 months at any JPJ counter or Post Office and decide to pay the remainder 6 months after 6 months period. This is possible, all the insured needs to do is to pay the remainder amount at any JPJ counter of post office by informing them their Vehicle no as all JPJ Database and Post Office Database are linked. |

CBC Breach will be activated if payment is not received within 7 working Days, Does these 7 working days include Saturdays and Holidays? |

CBC Breach will not take into account Saturdays as a working Day neither will Public Holidays be considered as a Working Day. |

What happens when an Agent encountered a CBC breach? |

The affected Agent will be barred from keying in any new Business or Renewal until he has made payment for the outstanding amounts owed to MUI. Upon confirmation of payment the CBC breach will be lifted and Agent may continue to key in transactions. However during CBC breach affected Agents can still do Enquiry in the Agency system. |

How does an Agent keep track of the overdue CBC or outstanding payment amount in the Agency Software? |

Agents can track their outstanding payments on the Aging Analysis Screen or Payment Listing screen. If CBC is breached a note will be displayed on the Welcome Screen of the Agent upon login and a link will be provided for quick access to the Payment Screen. |

What is the workflow of the Fax Option provided by MUI Insurance? |

Once Agent Faxes the Fax Form to our Branches, Our Branch Staff will key in the Details into the Agency System and send the details to JPJ for approval. Upon Receipt of Approval from JPJ, The Agent will be notified via sms on the transaction and fax form number reference if the submission has been approved. |

For Car Dealers with PBR (Payment Before Registration) Schemes with Financial Companies, How can they submit a Cover Note for New Cars to Finance Company for Loan Application before Registration to JPJ utilizing the E-Cover Note Online System? |

Yes you can. All the Agent needs to do is to issue a new Business transaction and omit the Car Registration Number and Commencement Date. Print out this Cover Note to be submitted for Loan Approval to Finance Companies. Later JPJ will fill in the details of the Vehicle Number and period of cover. |

Can Agents do a query on other agents’ transactions with the E-Cover Note Online System? |

No they cannot. Agents are only able to see their own transactions based on what they have keyed in. |

If I am an agent in East Malaysia and I want to issue West Malaysia transactions, is this possible with the Online Agency System? |

Yes this is possible. The Agent only needs to select West Malaysia or East Malaysia in the entry screen to enable auto premium calculation according to which location of the transaction. |

For Renewal Cases, When an agent pulls out a particular transaction for renewal, Will the latest NCD information be displays as the current correct NCD amount? |

Yes, the Current Agency System is updated with the latest Claims information from MUI Insurance and the NCD figures displayed will be the real time data as per MUI Database. |

What about NCD Confirmation from other companies that do not have resident information in MUI Database, example transferred cars from other insurance companies? |

For Those cases, NCD confirmation will have to be checked by Agent with those companies before applying NCD in the E-Cover Note Agency System entry screens. |
